Protocol Specialist
About the Role
The Protocol Specialist will provide administrative and mission-support services. This role supports the Commanding Officer's office in delivering a world-class visitor experience, managing distinguished visitor programs, and executing official ceremonies and Command-level events at one of the Coast Guard's most critical aviation facilities This role is contingent upon contract award.Essential Functions
- ALC tours: Organizing and coordinating base-wide tours, including itineraries and transportation, for distinguished visits (i.e., Congressional staff, USCG Flag Officers, DHS Staff, other governmental agencies, etc.).
- Conduct weekly tours for newly hired employees, visitors, and others as directed by the Command.
- Leading specialized tours of ALC for visiting groups (i.e., civic organizations, government representatives, schools, and other designated groups).
- Guest Escort and Itineraries
- Greeting arriving aircraft.
- Arranging for transportation for visitors.
- Escorting guests throughout the base complex.
- Managing and coordinating visitor itineraries.
- Command Briefings, Meetings and Conference Rooms: Setting up and operating audio/visual equipment for meetings.
- Managing and coordinating the schedule for the Commanding Officer’s Conference Rooms, including operating equipment, updating metric boards, and handling related tasks.
- Attending designated meetings as directed by the CG-AIR Command, recording minutes, and publishing them.
- Maintaining and updating weekly briefing materials.
- Keeping the Command Brief (ALC101) current and accurate.
- Regularly attend meetings as required.
- Ceremonies, Social Functions, and Events at CG-AIR (or other USCG domains as needed)
- Planning and managing ceremonies, including retirements, promotions, awards, and other events. This includes handling invitations, scripts, speeches, and programs as needed.
- Providing support on protocol matters, particularly with invitations, scripts, and programs.
- Organizing and assisting in hosting social functions for the Wardroom (Officers). Coordinating the recognition program for Enlisted Person of the Quarter, working with USCG Public Affairs, and local media.
- Assisting the CG-AIR Commanding Officer’s Secretary. Assisting with other ALC and Command Administrative duties.
- Provide admin support to senior leadership administrative staff and perform other tasks as assigned.
- U.S. Citizen
- Strong English communication skills (written/verbal)
- Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Able to manage multiple priorities with minimal oversight
- 2+ years of protocol and event planning experience, including etiquette or protocol for senior military/civilian officials and dignitaries
- Must obtain Protocol Specialist certification within 12 months of hire
- Public Trust
Preferred
- 1+ year experience with ALMIS and AMMIS systems
